Louisville Midnight Mayhem X Registration Information

We are just a little bit over a week away from opening registration for the the tenth anniversary of Louisville Midnight Mayhem!  In preparation for that, we thought we would take some time to provide you with all of the information you need to know about registration for both your team and your team members this year.  

Team Registration

Team registration from Louisville Midnight Mayhem X is going to be very similar to what it has been for the past few years.  On July 9, 2018 at 10:00AM EDT, a link to register for Midnight Mayhem X will appear on our registration page.  Your team captain will need to follow the instructions and fill out the form. 

Registration opens on July 9, 2018 at 10:00AM EDT

Team Registration Rules:

  • Teams may register a maximum of two (2) cars.
  • The registered cars must have a complete Passed Tech sticker from a Baja SAE event occurring in 2013 - 2018.
  • Registration is on a first come first serve basis.  Last year, we filled up in just a few days.  We are anticipating it to be faster this year.
  • All cars must have a MyLaps Transponder (same as used at Baja SAE events).  Rental transponders will be available at Midnight Mayhem.

Team Member Registration

It's no secret that a huge bottleneck at Midnight Mayhem has always been the check-in process when everyone arrives on site.  Please realize, that we have to ensure that everyone has filled out and signed all of the important documentation that makes them eligible to race and while we've tried to speed up that process with electronic solutions, getting through 1000 of you still takes a long time!  This year we are aiming to fix that.  We are implementing new processes that further streamline our check-in procedures.

Smart Wristbands

You are going to be seeing things about Smart Wristbands popping up throughout the announcements for Midnight Mayhem X features.  Registration will be the first point of contact for these new bands.  Part of our new check-in procedure is going to include using Smart Wristbands that store information about each individual student on them.  This will include pertinent information for the event like your name, the school you're with, and whether you are an eligible driver based on the criteria established in our rules.  Throughout the site and throughout each event will be different checkpoints at which your band will be scanned by an organizer or volunteer to ensure that you have permission be in that area or in the car driving.  

Competitor Passes ($30)

Each student is required to purchase a Competitor Pass.  This pass grants you all of the following:

  • Unique Smart Wristband
  • Full weekend access to Nickota Motorsports Park
  • Access to all spectator areas and paddocks
  • Driving privileges for all events (once Driver Training & Safety Course has been completed)
  • Access to free, on-site camping for Friday, October 12th and Saturday, October 13th
  • FREE Midnight Mayhem X t-shirt (if your pass is purchased by September 14, 2018)

New this year is the added requirement that ALL COMPETITOR PASSES MUST BE PURCHASED ONLINE ON OR BEFORE SEPTEMBER 14, 2018.  Same as it has been in previous years, the passes must contain the individual names of each student on your team that is attending.  There are some teams who purchase the passes for their team out of their team's budget and you will be able to continue to do so.  Just ensure that individual information is entered for each team member.  We will make sure the "time out" timer on our ordering page is long enough to give your team plenty of time to get that information in correctly.

AGAIN, ALL COMPETITOR PASSES MUST BE PURCHASED ONLINE ON OR BEFORE SEPTEMBER 14, 2018.

Single Point Registration

We all hate the huge lines on Saturday morning at the Registration area at Midnight Mayhem.  It's slow, uneventful, and takes a large chunk of your time that could be better used to get through Tech Inspection and get to Dynamic Events.  While our process worked well several years ago, Mayhem has increased in size so much so that it is now just an inefficient system that needs to be updated.  This year we are completely changing our Check-In process.  We are introducing a Single Point Registration process that will work similar to the early versions of SAE's Fast Track Roster. 

NO ONE WILL BE PERMITTED ON SITE WITHOUT A WRISTBAND.  This is different than years previous where we had allowed everyone on site to park, set up camp and your paddock, etc., before receiving your wristband.  That is not the case this year.  Again, no one will be permitted on site without a wristband.  In order to make that work, we will be checking you in as you arrive on site.  Each vehicle will be handed wristbands for each person in the vehicle assuming all of the necessary documentation is in order.  The process will flow a little differently depending on if you are the ones hauling your team's trailer or if you are just hauling passengers.  This is because we will only be permitting trailered vehicles through the gates at Nickota.  All other vehicles will be parking in the lot just outside of Nickota's gates.


Each Member will need to have the following on their person when they arrive at Midnight Mayhem:

Anyone who does not have all of these things will not be permitted on site until they have visited the Registration Area personally to correct the issues.

  • Competitor Pass: This can be either on your phone or a printed out copy.  The printed copy may work better than asking one person to carry several phones.
  • Signed Waiver: Bring a printed copy!
  • Government Issued ID (Driver's License, Passport, etc.): If you plan to drive during Midnight Mayhem a Driver's License is required so make sure that you have that on you!

Truck & Trailer

  1. A Registration Organizer will stop your truck & trailer at the gates of Nickota and ask for the Competitor Passes and documentation for everyone in the truck.
  2. The Registration Organizer will then scan each competitor pass and verify that all other documentation is order (i.e. waivers) for each member.
  3. Wristbands will then be given to your vehicle for each member that has no issues/discrepancies with any of the documentation (i.e. competitor pass, waivers, etc.). 
  4. Any team members that have not completed all of the necessary documentation or there is a discrepancy with their documentation will be asked to come to the Registration Area immediately to correct the issue(s).
  5. The Registration Organizer will direct you to the Paddock that your team will be in for the weekend.

All Other Vehicles

  1. One person from each vehicle will need to proceed to the Registration Area with the Competitor Passes and all other necessary documentation for each person in their vehicle.
  2. The Registration Organizers will scan each competitor pass and verify that all other documentation is order (i.e. waivers) for each member.
  3. Wristbands will then be given to your vehicle for each member that has no issues/discrepancies with any of the documentation (i.e. competitor pass, waivers, etc.). 
  4. Any team members that have not completed all of the necessary documentation or there is a discrepancy with their documentation will be asked to come to the Registration Area immediately to correct the issue(s).
 

Future Updates

Please note that we are still in the planning stages for Midnight Mayhem X.  All of the information above is our plan and will be happening.  There are some minor details that we are still working out that may affect the processes surrounding these new Competitor Passes and we will communicate that information through our website, social media, and emails to our registered teams.
